WhatsApp order automation for MSMEs — from chats to a clean register.
This does not replace WhatsApp. It reads the chats, voice notes and photos you already get, writes a structured register, and sends the confirmation back on the same thread.
In a Surat trading office or a loom unit, the order is rarely a clean purchase order. It is a voice note at 9.40 pm, a photo of a handwritten chit, or a three-line text with a design number and a “same as last”.
Customers already message there
You cannot move a grey trader or a job-work agent onto a dealer portal. They will keep sending the order on WhatsApp. So the system has to live where the order already is. In textiles this is usually the first workflow that pays — five workflows for Surat textile units.
Watch → parse → write → confirm → flag exceptions
The numbers you already use. Text, voice, photo. A register your office can trust. A recap back on the same thread. Ambiguous orders get flagged — we would rather hold a line than invent a qty.
Fields that actually get used
| Field | What we store | Why it matters |
|---|---|---|
| Party | Matched name / WhatsApp number | Stops “which Rameshbhai?” at dispatch |
| Item | Quality, design no., SKU, or the words they used | The floor can cut or pick without calling back |
| Qty | Taka, kg, pieces — as ordered | The usual source of silent mistakes |
| Rate | Quoted or “same as last” flagged | Credit and billing depend on it |
| Delivery | Date or “urgent” with a flag | Planning, not archaeology in the chat |
| Source | Link back to the WhatsApp message | Proof when someone says “I never said that” |
On-prem, in the language the chat is in
Fewer missed orders. Fewer mistakes. Faster confirmations. A daily order book. Order chats are customer lists, rates and often designs — that is why this runs as private AI on machines you own, in Gujarati, Hindi, English and Hinglish.
If WhatsApp is not how orders actually arrive, we will tell you. When it is the right problem, rollout looks like Tally bill booking: one number, live samples, then expand.
Does this replace WhatsApp?
No. Customers keep messaging the same number. The AI reads the thread and writes a register. Confirmations go back on that same chat. Your team does not move buyers onto a new app.
What about voice notes and photos of chits?
Those are the point. A lot of MSME orders never arrive as a typed line. The workflow is built for texts, voice notes and photos — and it flags the ones it cannot parse instead of inventing a qty.
Will it work in Gujarati, Hindi and Hinglish?
Yes. Brokers and customers already mix languages on WhatsApp. The register can store a clean English/Gujarati line and still reply in the language the thread is using.
Is the chat history leaving my phone?
The deployment is private AI on hardware you own. Order text does not train a public model and does not need to sit in a foreign cloud.
Who is this not for?
If every order already lands as a clean PO in a system your team trusts, you may not need this. We refuse work where WhatsApp is not actually how orders arrive — we would rather say no than bolt a chatbot onto a process that is already fine.
